About the Position

The Team Leader will work closely with the Reception Desk Manager to provide oversite of the Reception Desk and administrative support to the manager, in addition to performing Reception Desk receptionist duties.  In addition, this position is responsible for providing a variety of receptionist activities in serving residents, visitors, and others that include managing and monitoring security systems within the GHA community, as well as responding to security issues. The team leader is expected to take an active and decisive role to ensure that sign-in procedures are followed, camera views are properly monitored, lock outs and keyless lock system alarms are handled immediately, and that people attempting to enter the building at entry points equipped with cameras and buzzers are properly identified before entry is allowed.

The shift for this position is 9am-5pm Monday-Friday

The pay rate is $21.00/hr

Job Duties

  • Updating the staff and resident directory every quarter.
  • Making department deposits.
  • Processing bi-weekly payroll.
  • Creating a monthly personnel schedule.
  • Participating in on-call rotation for Reception Desk.
  • Dictating the minutes for the chairman of the safety committee.
  • Use the computer to produce telephone lists, resident and employee parking information, resident/staff directory and various other forms.
  • Oversee and distributes facility, apartment/mailbox keys ensuring security guidelines and proper procedures are maintained.
  • Distribute bills to residents in a timely manner.
  • Collects payments and fills out appropriate forms for guestrooms, postages and copies Cashes checks for residents as requested.
  • Assists residents and visitors with requests for cab service, van service, and other requests in a polite and proficient manner.
  • Assists with and/or is responsible for entering information in incident reports, communication log, and other records and reports.
  • Covering the desk whenever it is needed to ensure consistent coverage.
  • Managing visitor sign in protocols, ensuring compliance with established procedures.
  • Responsible for counting and maintaining all cash transactions including but no limited to reconciling each cash bag and petty cash drawer on each shift

Qualifications

  • High school graduate or equivalent required.
  • Minimum of two years’ experience in public relations, customer service, or related area required.
  • Must have computer skills in word processing.
  • Must be able to deal tactfully, effectively and with compassion with all people.
  • Excellent written and verbal communication skills required.
  • Must use discretion and independent judgment when performing job duties.
  • Proficient in Microsoft Office Suite
  • Effective interpersonal, leadership and technical skills.
  • Flexibility – this position covers evening and nigh on-call shifts
